What is covered by the registration fees?

A registration is required to attend the event, and it requires a registration fee. The registration fee covers accommodation, meals, social program, printed materials, a small administrative fee, and individual EATEL membership. So, you do not need to book accommodation yourself. We have an agreement with the hotel and special rates.

Who can register?

Instructors of accepted workshops can register now!

Regular participants need Apply via the Call for Participants and wait for their application to be accepted. We will be reviewing application as soon as we receive them.

Keynotes do not need to register.

Payment options

In the end of the registration process, at the checkout, you will have the following payment options available:

  • INVOICE ME: you will receive one invoice by email and can pay by bank transfer (recommended).
  • PAY ONLINE: for those who has a PayPal account, you can pay with a card.

The invoice will include a breakdown of all registration items.

We strongly recommend to select the “INVOICE ME” option and pay by bank transfer if you have the possibility.

You will receive an invoice by email and can pay by bank transfer (recommended).

You can find the payment information (bank account and BIC/SWIFT) at the bottom of the invoice.

The invoice will include a breakdown of all registration items.

If your employer requires the name of your organization, address, or any other information to be displayed on your invoice, you can add all this information in your profile of the EATEL member management system. After you add this information, you can re-download an updated invoice via the link in the confirmation email.

To be able to access your profile, you can login on the EATEL member login page and then add the required information on the EATEL profile page.

Registration form 1 - MAIN EVENT

We have two registration forms. Registration form MAIN EVENT should be used by all participants of the summer school. It is your formal registration to participate in the event itself.
Invoice: The invoice for this registration will contain the costs of attending the event itself and can usually be paid by your employer organization.
Invoice in PDF: During the registration process, you can find a link to download your invoice as a PDF document. You can find this link on the same web page that displays your invoice information. You can also find a link to download your invoice as a PDF document in the notification email that you will receive after you register.

Registration form 2 - PRIVATE STAY AND GUESTS

We have two registration forms. Registration form PRIVATE STAY AND GUESTS is optional. It can be used by:

  • the participants who wish to extend their stay at the summer school hotel before and/or after the event
  • the guests of the participants (partner/spouse/family)

Invoice: The invoice for this registration will contain additional costs, not directly related to attending the event itself and can be paid privately by the registering person.

Important: If you are planning to bring a +1 guest to the event, you yourself need to register with the “Single Occupancy Participant” option in the MAIN EVENT registration form. The “Guest” fee is designed as an addition to this option.

MAIN EVENT Registration

The registration process is slightly different for the existing EATEL members and for non-members.

👉For members

  • Step 1: Login to your EATEL account and add/update the invoice information (name of your organization, organization address, etc.)
  • Step 2: Register via the form below. EATEL members can also register via the Events page in the membership system.
  • Step 3: Download the invoice via the link in the notification email.

👉For non-members

If you are not an EATEL member yet and you don’t have an EATEL account yet. However, you will become an EATEL member upon completing the registration.

  • Step 1: Register via the form below.
  • Step 2: Login to your EATEL account and add the invoice information (name of your organization, organization address, etc.). To login for the first time, you can use the restore password option.
  • Step 3: Download an updated invoice via the link in the notification email.

PRIVATE STAY AND GUESTS Registration

The private stay and guest registration has the following options:

👉For participants

As a participant, you can select “Single occupancy” option if you want to stay alone in the room or invite a guest. You can also select the “Double occupancy” option if you want to share your room with another participant (not guest) of the same gender.

  • Daily fees before the event (11-15 May 2026)
  • Daily fees after the event (24-25 May 2026)
  • Daily fees after the event (26-28 May 2026)

👉For guests

If you are a participant and inviting a guest, you should use the “Single occupancy” option. The prices for guests are designed as an addition to this option.

Important dates

  • 16 March 2026 Registration opens
  • 15 April 2026 Registration deadline*

* After the registration deadline, we might still able to register additional participants, but this will expose us at EATEL to additional risks. So, we strongly recommend to respect the registration deadline.

Cancelations

  • Before the registration deadline 15 April 2026, any registration can be cancelled at no cost.
  • Between 16 April 2025 and 7 May 2026, we will be able to provide a partial reimbursement, which will include a full reimbursement of the accommodation costs.
  • Between 8 May 2025 and the start of the event on 16 May 2026, partial cancellations are possible, which will include a partial reimbursement of the accommodation costs (from the second night of your intended stay).
  • These deadlines are final and will not be extended.
